Terms & Conditions
These Terms & Conditions apply to travel planning and consulting services provided by Purple Truffle Limited, trading as Purple Truffle (“Purple Truffle”, “we”, “us” or “our”).
By engaging Purple Truffle’s services, authorising us to make arrangements on your behalf and/or paying an invoice, you agree to these Terms & Conditions.
1. Planning & Consulting Fees
Purple Truffle’s planning and consulting fees reflect the time, expertise, research and work involved in creating a bespoke itinerary.
Planning and consulting fees are non-refundable once work on your itinerary has commenced. Once a detailed itinerary has been developed and/or reservations and arrangements have been made on your behalf, the planning fee remains payable even if you subsequently decide to cancel or change your trip.
Substantial changes to an agreed itinerary, or additional planning requested beyond the original scope, may be subject to an additional planning fee. Where applicable, this will be discussed with you in advance.
2. Reservations & Supplier Cancellation Policies
Purple Truffle arranges reservations and services on your behalf with independent third-party suppliers, including hotels, restaurants, guides, drivers, transportation providers, activity and experience providers and other travel partners.
Where a reservation is subject to specific cancellation or amendment terms, we will make these terms clear to you before booking wherever reasonably possible.
By authorising Purple Truffle to make a reservation on your behalf, you accept the applicable supplier’s booking, payment and cancellation terms.
Some reservations require a credit-card guarantee, deposit or advance payment. If a reservation is cancelled after the permitted cancellation deadline, or in the event of a no-show, the supplier may charge the card provided or retain all or part of a deposit or advance payment.
You are responsible for cancellation, amendment and no-show charges imposed by suppliers in accordance with their stated terms.
We will always make reasonable efforts to assist with cancellations or changes but cannot guarantee that a supplier will waive its cancellation policy or provide a refund outside its stated terms.
3. Changes & Cancellations
Please notify Purple Truffle as soon as possible if you wish to change or cancel any part of your itinerary.
Changes requested after arrangements have been confirmed are subject to availability and may result in supplier cancellation or amendment charges.
Where a cancellation or substantial change results in significant additional administrative work, including cancelling or amending multiple confirmed arrangements, Purple Truffle reserves the right to charge a reasonable administration fee. Where practicable, you will be advised of this before the additional work is undertaken.
Any planning or consulting fees already paid remain non-refundable once work has commenced.
4. Payments, Currency Exchange & Transaction Fees
Unless otherwise stated, travel services arranged by Purple Truffle are provided by independent third-party suppliers and are subject to their individual payment, booking and cancellation conditions.
Where Purple Truffle makes or facilitates payments to suppliers on your behalf, charges associated with international payments, banking fees, payment processing and/or currency conversion may be passed on to you.
Where an arrangement is priced in a currency different from the currency in which you are invoiced, the amount payable may reflect exchange-rate movements and associated transaction costs.
Any applicable fees will be identified on your invoice or otherwise communicated to you.
5. Independent Suppliers
Purple Truffle provides bespoke travel planning and consulting services and may arrange travel services supplied by independent third parties.
Hotels, restaurants, guides, drivers, airlines, rail operators, transfer companies, activity providers and other travel suppliers operate independently of Purple Truffle and are responsible for the services they provide.
We select and recommend suppliers with care but do not control their day-to-day operations.
Nothing in these Terms & Conditions limits any responsibility Purple Truffle may have under applicable law.
6. Changes by Suppliers & Circumstances Beyond Our Control
Travel arrangements are occasionally affected by circumstances outside Purple Truffle’s reasonable control. These may include severe weather, natural disasters, strikes, transport disruption, government action, civil disturbance, public-health events, closures and other unforeseen circumstances.
Hotels, restaurants, guides, transportation providers and other suppliers may also occasionally alter or cancel services.
Where this occurs, we will make reasonable efforts to assist you and, where appropriate, identify suitable alternatives. However, we cannot guarantee reimbursement for services affected by circumstances outside our reasonable control or by the actions of independent suppliers.
Any refund for a third-party service will ordinarily be subject to the applicable supplier’s terms and conditions and, where relevant, your travel insurance coverage.
7. Our Responsibility
Purple Truffle will exercise reasonable care and skill in providing our travel planning and consulting services.
Subject to applicable law, Purple Truffle is not responsible for losses resulting solely from the acts or omissions of independent third-party suppliers or from circumstances outside our reasonable control.
Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including any statutory rights or protections to which you are entitled.
8. Travel Insurance
We strongly recommend that you obtain comprehensive travel insurance from the time your trip is booked.
Your insurance should be appropriate to your individual circumstances and should include, where relevant, cover for trip cancellation and curtailment, medical treatment and repatriation, travel disruption, missed departures, baggage and personal belongings.
It is your responsibility to ensure that your chosen policy provides adequate cover for your itinerary, activities and circumstances.
9. Passports, Visas & Entry Requirements
You are responsible for ensuring that you hold valid passports, visas, electronic travel authorisations and any other documentation required for your journey.
Passport validity, visa and entry requirements can change. You should check the official requirements applicable to your nationality and destination before travelling.
Unless expressly agreed otherwise, Purple Truffle does not accept responsibility for losses arising from a traveller’s failure to obtain the necessary travel documentation or comply with applicable entry requirements.
10. Health, Safety & Personal Requirements
You are responsible for determining whether a destination, activity or travel arrangement is suitable for your individual circumstances.
Please advise Purple Truffle of any mobility requirements, dietary requirements or other practical considerations that may materially affect your arrangements so that reasonable efforts can be made to accommodate them.
Where appropriate, you should seek professional medical advice regarding health requirements, vaccinations or your fitness to participate in particular activities.
11. Accuracy of Itinerary Information
Purple Truffle takes reasonable care to ensure that itinerary information is accurate at the time it is provided.
Opening hours, menus, schedules, prices, transportation arrangements and other travel information may change without notice.
You are responsible for reviewing your itinerary, traveller names, travel dates, reservation details and other documentation and notifying Purple Truffle promptly if anything appears incorrect.
12. Prices & Supplier Charges
Prices quoted by Purple Truffle are based on information available at the time of quotation and may be subject to change until the relevant reservation or service has been confirmed and, where required, paid for.
Taxes, local charges, resort fees, city taxes, gratuities or other charges payable directly to a supplier may not always be included unless expressly stated.
13. Client Conduct
Clients are expected to comply with the reasonable rules and requirements of hotels, restaurants, guides, transportation providers and other suppliers.
Purple Truffle is not responsible for services refused or terminated by a supplier as a result of inappropriate behaviour or failure to comply with the supplier’s reasonable requirements.
14. Privacy & Personal Information
Purple Truffle may need to share relevant personal information with hotels, guides, transportation providers and other suppliers in order to arrange and manage your travel.
Only information reasonably necessary for making and managing your arrangements will be shared.
Personal information will otherwise be handled in accordance with Purple Truffle’s Privacy Policy and applicable data-protection legislation.
15. Governing Law
These Terms & Conditions and any dispute or claim arising from them are governed by the laws of England and Wales.
The courts of England and Wales shall have jurisdiction, subject to any mandatory rights you may have under applicable consumer law.
16. Acceptance of Terms
By engaging Purple Truffle’s services, authorising Purple Truffle to make arrangements on your behalf and/or making payment of a Purple Truffle invoice, you acknowledge that you have read and accepted these Terms & Conditions.
These Terms & Conditions apply alongside any specific booking, payment, amendment or cancellation conditions communicated to you in relation to individual travel arrangements.
Where an individual supplier’s booking or cancellation conditions apply to a particular reservation, those conditions will continue to apply to that reservation.
